How to Use This Meeting Cost Calculator

The formula this tool uses is straightforward:
Meeting Cost = Number of Attendees × Hourly Rate × Duration (hours)
For real-time tracking, the tool calculates a cost per second (attendees × rate ÷ 3,600) and accumulates it every 250 milliseconds. If "Fully Loaded Cost" is enabled, the hourly rate is multiplied by 1.3 to account for benefits, taxes, and overhead.
For example: 6 attendees at $50/hour with the fully loaded toggle on means an effective rate of $65/hour per person, for a total burn rate of $390/hour or $0.108 per second.
Tips to Reduce Meeting Costs
- Require an agenda. 63% of meetings have no written agenda. If there is no agenda, there should be no meeting.
- Cut the guest list. Every additional attendee increases cost linearly. Only invite people who need to make decisions or provide input that cannot be given asynchronously.
- Shorten the default. Switch from 30-minute to 25-minute meetings and from 60-minute to 50-minute meetings. You will be surprised how often the shorter time is sufficient.
- Replace with async. Status updates, FYIs, and information sharing almost always work better as a Slack message, email, or recorded Loom video.
- Audit recurring meetings. Review every recurring meeting quarterly. If no one can articulate why it still exists, cancel it.
